Membership Terms and Conditions

By becoming a member of our Car Club you agree to the following:

The Member Agrees to:

To read all joining criteria prior to registering for membership.

To Fill out online application form in full.

Pay where applicable for some Club Events - this will be clearly stated at the time during Event registration processes.

R8 Adventures car club is a not for profit club. All members and non-members join events entirely at their own risk. You should be fully insured for any activity that you attend, with or without club members. The club is about working together for the good and growth of the group, whilst having some fun, adventure and making some great friends along the way. 

Whilst many members drive in a spirited way, both to and from events, as well as in convoy, they do this entirely at their own risk. However we do not condone reckless driving or allow anyone to put other member’s safety or cars at risk. Any such activity may result in your membership being terminated without notice. Exemption from future meets, Joining the club is deemed as acceptance of any of our terms and conditions of membership.

By joining the club, attending events, and meets, you agree to indemnify the club against any claim for loss or damage to you, your car or belongings, or any other persons or property that you may cause incident to, at any meets, events, venues, or whilst in convoy.

Associated dangers in road-based events such as those hosted by The Club include but not limited to; risk of accident, risk of injury or risk of death. Whilst we strive to ensure our events are as safe as possible we will not be held responsible nor do we have any control over the driving of our participants or other road users and the Club accepts no responsibility for these risks. It is entirely the Members responsibility to ensure they are physically and mentally prepared. All members and non-members join events entirely at their own risk. You should be fully insured for any activity that you attend, with or without club members. Legal compliance and any risk assessment is the responsibility of the Member to make sure they are compliant before entering an event.

To show respect towards Club members and their cars during Club Events. To maintain a considerate level of driving towards other Club Members and the general public. To take suitable care whilst on Club Events and to abide by local driving laws and speed limits. To pay all fines, penalty charges or costs connected with the vehicle whilst on Club Events.

Club Events are not designed to be a race and there is no prize or reward for being the first to reach any given destination or meeting point.

You must always promote the club in a positive manner, you must not pose as a servant or agent of the club or company

We are a multi cultural and cosmopolitan club. You must show respect to your fellow club members. Any bullying, disrespecting a fellow club member or belittling a members car (or type of car) in public, or on any of the groups or chats, will not be tolerated. It is strictly forbidden to discuss or joke about politics, sex, sexual preference, sexist or racist subjects in any of the group chats or groups.

Members agree to give the Club permission to use Images of you and your car (which may include your car registration) which may be used in promotional posts on our website, on social media and/or in print form. If you share any photos or imagery in group chats or send to the club or it’s admins directly, you waive the right to any copyrights on those images/video etc.

You must be at least 18 years of age to join this club.

The act of promoting rival clubs during Club Events or to Club Members is deemed as soliciting and not tolerated. Unless explicit written consent is gained from this club owners. All unauthorised advertising or soliciting on the club forum or at Club Events will be removed without explanation or notice.

If you disagree or don’t comply with any of the above, please contact admin without delay if this might be relevant to you, please contact admin.  Failure to comply with any of the above may result in your membership being terminated without notice. Any membership fees or any donations will not be refunded.

The Club agrees to:

Withhold the right to terminate your Club membership with immediate effect on the evidence of dangerous, reckless, anti-social or inconsiderate driving. Or due to actions by a Club Member during or outside club events deemed unacceptable, offensive or against the spirit of the Club.

Withhold the right to cancel Club Events due to poor weather conditions or a low registration quantity.

Reserve the right to amend these terms and conditions without prior notice.

Club Events

All Events are offered subject to availability and are on a first come first served basis.

There shall be no formal and binding contract between the Club and The Member until the requested deposit (or appropriate full amount due) has been received by The Club.

Failure to pay the balance of any deposit ( or where appropriate full amount due ) as requested will entitle The Club to cancel the booking without further advance noice to The Member.

Any Event taking place must be paid for in full when booking is made, (unless expressly stated in Event booking info for that specific Event)

Provisional bookings will be confirmed only once payment is received in full

We reserve the right to cancel or refuse any bookings at our sole discretion.

 

Day Event Cancellations

If you wish to cancel a booking 4 weeks or more prior to the date of an Event which you have booked, we will raise a credit note to be used on further events for the full amount paid less £25 admin fee. ( This does not apply to events where tickets are bought online for carshows and paid directly to the organisers - we have no authority over that payment refund and are out of our control, but we will work with you on asking the question of a possible refund, but the organisers decision will be final )

If however you wish to cancel within 4 weeks of an Event which you have booked, we will raise a credit note to be used on further events for the full amount paid less £50 admin fee. ( This does not apply to events where tickets are bought online for carshows and paid directly to the organisers - we have no authority over that payment refund and are out of our control, but we will work with you on asking the question of a possible refund, but the organisers decision will be final )

Credit notes for day events will last 12 months, will be non transferable, We do not provide refunds for day events.

Exclusion of Liability
1    Attendance at events is at Members own risk and the Club accepts no responsibility for any damage to cars or persons during an event.
1.2    The Club cannot be held responsible for the driving of Members or other road users. The Club accepts no responsibility for these risks. 
1.3    Code of Conduct: All participants must conduct themselves responsibly and in an appropriate manner at all times. We take no responsibility for your conduct on our events or tours.

Club Events, Drives and Tours organised by the Club: 
2    Drives and Tours organised by the Club are bookable via the website with the following conditions
2.1    Deposits to be paid in full as identified for each event.
2.2    Payment in full is required at least 6 weeks prior to any Tour Dates. 
2.3    Payment for day drives is non-refundable.
2.4   Handsfree walkie talkies are used during Club events to inform Members of route progress. Members that use the sets do so entirely at their own risk.
2.5   Although the Club recommend the use of handsfree walkie talkies to communicate with other Members, it is the responsibility of passenger(s) to use them. Under no circumstances should handsfree walkie talkies be used to encourage overtaking or other dangerous manoeuvres. 
2.6   Information from handsfree walkie talkie messages can be unreliable. The Club accepts no liability for accidents associated with the use of handsfree walkie talkies.
    
Booking and Payments
3     All registrations are made via the Club website.
3.1   All events are offered subject to availability and on a first come first served basis.
3.2   There shall be no formal and binding contract between Members and the Club until the requested deposit (or where appropriate the full amount due) has been received.
3.3    Day drives deposits are due in full when the booking is made.
3.4    Tour deposits are due as described for each event.
3.5    Failure to pay the balance of any deposit (or where appropriate the full amount due) as requested will lead to a cancellation of the booking.
3.6    The Club reserves the right to cancel or refuse any bookings at their sole discretion.

TOUR EVENTS

Tour Events Terms and conditions and cancellation policies will be based on those of the Tour organiser. Please ask for these in advance of any Tour Event as they may differ. 

R8 ADVENTURES TOURS ARE NOT A COMPETITIVE EVENT

R8 Adventures Tour event participants must not enter into the competition (i.e race or time trial) with other Tour participants or other road users and must drive with appropriate care and attention for the safety of themselves and other road users at all times, with consideration for local regulations, road conditions and weather. Any participants who do not comply with these requirements will be subject to immediate removal from the event, without a refund.

AGE RESTRICTIONS

All participants (drivers and passengers) must be a minimum of 18 years old

TOUR EVENT ENTRY FEES

To book a place on an R8 Adventures Tour event, a confirmed deposit will need to be paid by the invoiced dates agreed and full payment balance paid no later than 90 days prior to the start date of the event. If a reservation is made within the 90-day deadline then full payment will be required at the time of the booking. Please note that deposits and entry fees are non-refundable unless specific cancellation criteria apply (please see Cancellations below)

Entry fees will include quality hotel accommodation (usually in a twin or double room), breakfast, overnight parking, ferry and/or Euro Tunnel crossings, and a driver information pack. Please note that if pre-arranged ferry/tunnel crossings are missed it will be the responsibility of the participant to pay any extra charges incurred.

Entry fees unless specifically stated will not include fuel, tolls, lunch/evening meals, drink, fines, repair costs and other personal expenses of any kind. All personal expenses are the responsibility of the participant and any unpaid charges will be invoiced by R8 Adventures, with payment due within seven days.

TOUR CANCELLATIONS

Tour spaces Cancelled - No Refunds will be paid as they are used to prebook Hotels etc with no refund option, However, the club will attempt to resell any cancelled spaces before the event. Should the club find a replacement person to take the place of the cancelee and they pay in full. Then the cancellee will receive a refund, if their space cannot be resold, they will NOT get a refund.

CANCELLATIONS

R8 Adventures event organisers reserve the right to change or cancel part, or all, of the planned event at any time and under any circumstances.

R8 Adventures will make financial commitments based on receipt of deposits and full event payments that are usually non-refundable. Therefore, if participants for any reason cancel the booking prior to the event, the following charges apply:

Cancellation before 90-day deadline to event start: 50% of full event costs payable

Cancellation after 90 days deadline to event start: 100% of full event costs payable

Participants that have paid a deposit but have failed to pay the full entry fee by a deadline of 70 days prior to the event start will be deemed to have cancelled their entry without refund. Once the event has started, if participants decide that they cannot continue for any reason, the event organisers will not provide refunds or compensation as 100% of full events costs still apply.

R8 Adventures organisers regret that they cannot accept liability for cancellation of an event due to circumstances out of their control or that could not have been reasonably foreseen or avoided i.e. Force Majeure.

If R8 Adventures organisers are forced to significantly change or cancel an event for reasons other than Force Majeure (i.e. change or cancellation is reasonably within the event organisers control) they will seek to offer a suitable alternate event or provide full refund of payments made by participants up to the point of cancellation

 

RESPONSIBILITY

R8 Adventures Club accepts no responsibility for the consequences of Members being refused entrance or exit in to or out of any country or city during tour including any costs incurred, this is all the participant’s responsibility and in particular, any additional costs incurred are solely the participant's responsibility.

INSURANCE / LICENCES ETC.

Event participants are fully responsible to ensure they have a valid driving licence, a valid passport and / or required visas and are fully insured to travel in any of the countries included in the event itinerary. This includes, but is not limited to,

Required Documents for the Driving Tour
a) Driving Licence – all drivers must hold a valid full UK driving licence.
b) Vehicle insurance – for all drivers.
c) V5C (log book) or ‘vehicle on hire’ certificate.
d) MOT certificate – as the condition of a vehicle may deteriorate within the period of an MOT, it is your responsibility to ensure that your vehicle is in a roadworthy condition for the event.
e) Valid Passport – for all participants.
f) Travel insurance - it is the Members responsibility to ensure they have appropriate travel insurance in place for passengers, personal effects, luggage and the vehicle. It is the sole responsibility of the participants to ensure that their documents are in order. They must be valid from the beginning up to and including, the last day of the tour.                                                                                                                                      g) Any Covid Documentation - all participants must comply with any documentation or vaccination records required by any country at the time of travel, it is the responsibility of each participant to make sure they are fully compliant, with the latest measures and procedures, that are in place at that time.a minimum of third party vehicle insurance for all drivers, valid vehicle MOT certificate, road tax, medical insurance and any required personal liability insurance.

Event participants are also responsible to inform their insurers that they are participating in a road trip / travel event to ensure that insurance cover will be effective and liability will be covered, should an incident occur.

Regardless of any pre event checks carried out by the event organisers at registration the responsibility for full compliance with all licence and insurance requirements remains with the event participant.

FORCE MAJEURE

The Club cannot accept liability or refund monies if the event has to be amended or cancelled due to any circumstances outside our control or that could not be foreseeable or avoidable. Such as (but not limited to) war, the threat of war, riot or civil unrest, disease, terrorist activity, industrial disputes, natural disasters, adverse weather conditions, ferry delays or traffic delays. Neither can the Club be held responsible if certain attractions change their opening times or are closed.

TRAVEL DELAYS

It is the nature of making bookings in advance that prearranged events may be delayed for reasons out of the Club’s control. Any travel          delays both before and during a tour, whether foreseen or not, can in no way be deemed to be the Club’s responsibility and therefore we will        not be liable for any extra costs you may incur. Examples of such costs are, but not limited to, hotels, ferry crossings, hire cars, meals ad          drinks. These conditions apply regardless of how the delays were brought about. Examples are, but not limited to, adverse weather                conditions, natural disasters, technical difficulties industrial disputes. For whatever reason Members are unable to complete a tour they will in      no circumstances be entitled to any refund for any unused services booked.

CODES OF CONDUCT

Event participants are expected to conduct themselves sensibly and responsibly at all times. If the event organisers become aware of illegal, antisocial or inappropriate behaviour at any time during the event, or there is evidence that participants are driving under the influence of alcohol or other intoxicating substances, R8 Adventures reserve the right to terminate participation, without refund. The right to terminate participation without refund by the event organiser also includes any irresponsible, reckless and dangerous driving that either causes, or has the potential to cause, a road traffic accident. Please note that R8 Adventures will not be liable for any extra costs incurred by the participant if event participation has to be terminated.

All event participants will be aware and adhere to the local laws and regulations applicable to the regions and countries they travel in. This includes speed limits, visas, road taxes, noise / environmental regulations and full compliance with any local requirements to carry road safety items and equipment. It is the responsibility of the event participants to understand and fully comply with all local or regional laws and regulations.

Please note that by agreeing to these Terms the participant indemnifies R8 Adventures from any third party claims associated with a breach of the Code of Conduct by the participant

IMAGE RIGHTS AND BRANDING

By agreeing to these Terms and Conditions, all participants consent to be videoed and photographed during the event including use of their name, image, voice and biographical material for inclusion in any footage and publicity campaigns, brand advertising, or in other related promotional material.

Event participants also agree to only take photographs and video footage for personal use and for non-commercial purposes

By agreement with event organisers, participants consent to place R8 Adventures and / or sponsor stickers on their vehicles. All stickers are non-permanent and easily removed leaving no residual damage to the vehicle. Please note that event organisers are not liable for claims of damage caused during the application or removal of event related stickers.

DISCLAIMER

Event participants agree to indemnify R8 Adventures event organisers, officers, directors, employees, agents and sponsors of any and all claims, liabilities, lawsuits, and actions brought against them by any third party as a result of participation and / or violation of any laws and regulations during the event.

Event participants also agree to indemnify R8 Adventures event organisers in the event of a breach of these Terms and Conditions.

These Terms and Conditions and participation in the event are governed by English law and therefore subject to the jurisdiction of the English courts.

COMPLIANCE WITH TERMS AND CONDITIONS

The event participant will comply with all the R8 Adventures Terms and Conditions of entry.

At the point of booking a tour and paying either a deposit or full balance payment it is deemed that the participant has read and understood the Terms and Conditions and agrees to be bound by them in their entirety.

If any of these Terms and Conditions are not clearly understood, the prospective participants must contact the event organisers for clarification before the booking is made.

The participant acknowledges and understands that the event organisers will use reasonable effort to ensure that all participants abide by the Terms and Conditions of entry, but this cannot be guaranteed.

By agreement with these Terms and Conditions, the event participant agrees not to organise, invest or fund a similar driving event which attempts to replicate the unique features, activities and components or benefit from the organisers branding and goodwill.

Participants who ignore or violate any of these Terms and Conditions or refuse to follow reasonable instructions given by the event organisers prior to, or during, the event, may have their further participation in the event terminated, without refund.

RELEASE AND WAIVER

The participant agrees that by completing the entry form and making an event booking they are accepting the Terms and Conditions and this Release and Waiver clause.

Governing Law
